How to Submit your Proposal
All proposals must be submitted via email, using this form. Fax or hardcopy versions will not be accepted. If you have questions or concerns regarding your submission, please call 1-800-207-2138 or email chelm@cip-icu.ca.
Selection Criteria
The Program Committee will review all proposals and selection will be based on:
- the topic's relevance to planning and to the conference theme, and its capacity to stimulate debate
- presenters' expertise, knowledge, and ability to engage and challenge participants
- the fit of the proposed session with the conference structure
Session Selection
In order to create a unique and well-rounded experience for conference participants, keynote presentations and some concurrent session presentations will be given by invited speakers (see topics shaded in orange in the Concurrent Sessions document). In particular, climate change-science related sessions will provide the context for planning practitioners to handle climate change issues in their professional practice. You are invited to submit proposals to address topics shaded in green on the Concurrent Sessions table. New topics may be added if warranted.
Presentation Proposals are Encouraged from ...
Professional and student planners, including members of CIP and its provincial Affiliates, the American Planning Association, the Commonwealth Association of Planners, the Royal Town Planning Institute, the Planning Institute of Australia, the New Zealand Planning Institute, Le Conseil Français des Urbanistes and members of related organisations are invited to submit proposals. Presentations are encouraged in either English or French. Simultaneous translation will be available at all sessions.

Review Process
- All submissions will be reviewed by the Program Committee, which is composed of Institute volunteers.
- The Program Committee may determine that a proposal could or should be presented in a format, or conference theme, other than that proposed by the submitter. The submitter will be consulted regarding this option.
- The decision of the Program Committee on the inclusion or rejection of a proposal, and the presentation format, is final.
Presenters' Responsibilities
- Presenters must send their complete presentations to the CIP office, by Wednesday September 8, 2010 by email at chelm@cip-icu.ca (please ensure that your presentation is saved in a pdf format).
- Presenters must indicate an intent to attend and register for the conference.
- Presenters will be responsible for all expenses including travel, conference registration, non-sponsored meals and miscellaneous charges.
Proposal Formats
Detailed requirements for specific kinds of sessions are as follows:
- Intensive Training Workshops (2 or more hours in length, 1-2 speakers/facilitators) on a particular topic. Please note if the workshop has a limited capacity.
- Concurrent Sessions including presentations, panel discussions, and seminars to be conducted within the conference venue (1.5 hour in length, 1-3 speakers) Allow at least 20 minutes for Q&A. (1) Complete Session Proposal: In this option you are responsible for finding and confirming speakers and creating the content of the session. Please specify which concurrent session title matches your proposal, or specify if it is a new topic. (2) Individual Presentation Proposal: You have the option of proposing a single presentation. Single presentations are 20 minutes and will be placed in a session with similar presentations. Please specify within which concurrent session your proposal fits.
- Mobile Tours and Workshops (2 or more hours in length, 1-2 leaders each) to local venues and attractions. These may be walking workshops or involve transportation and/or refreshments. Please indicate your requirements.
- Other formats Consider videos, podcasts, on-line communities, interactive mapping, blogs, and innovative communication tools.
- Poster Presentations (open to students only): The posters must be on display throughout the conference. Presenters must be available to explain and discuss their posters during times specified in the program.
Your creative proposals for new presentation approaches will be appreciated and considered.
Key Dates
Proposal due: Friday January 29, 2010. Submissions must be received no later than 16:00 EST on the day of the deadline. Submissions will not be accepted after that time. You will be notified of receipt of your submission by email no later than February 5, 2010. Notification by Program Committee: March 22, 2010.
